Privacy Policy – ACTualize Psychology

At ACTualize Psychology, your privacy is treated with the utmost respect and care. During Contact or Intake:

When you book an appointment or get in touch, I may collect your:

  • Full name

  • Email address

  • Phone number

  • Preferred session format and language

  • Basic intake information as shared during our communication

This information is used solely to schedule sessions, understand your support needs, and prepare for our work together.

During Sessions and Therapeutic Work:

If you decide to proceed with sessions, additional data may be collected to support your process, including:

  • Session notes

  • Completed questionnaires

  • Values assessments or goals

  • Email communications

     All notes are handled with confidentiality and are never shared with third parties.

3. Use of PsychFlex

As part our work together at ACTualize, I use PsychFlex, a digital tool that enhances session work by helping us clarify your values and build psychological flexibility.

Only your name, email address, and questionnaire responses (that you voluntarily provide) are stored within the platform. These insights are used solely to support our sessions more effectively and personally.

4. Booking Platform – Calendly

Appointments are scheduled using Calendly, which collects your name, email, and selected time slots. This information is used only for scheduling and communication purposes.

Calendly stores data on secure servers and complies with GDPR. Their privacy policy can be found at calendly.com/privacy.

5. Website & Cookies

The ACTualize Psychology website uses Google Analytics to gather anonymous visitor data for improving the site’s usability. Information collected may include:

  • Browser type and device

  • Time spent on pages

  • Referral sources

  • Pages visited

This data is anonymous and cannot be traced back to individuals. You can control cookies through your browser settings or consent banner on the site.

6. Legal Record-Keeping

As required by Dutch healthcare law, a client file is kept for each person who proceeds with support. These files include essential information necessary to deliver quality psychological care and must be retained for 15 years, in line with Dutch regulations.

7. Your Rights Under GDPR

You have the right to:

  • Access your personal data

  • Request correction or deletion

  • Object to or restrict data processing

  • Withdraw your consent at any time

  • Lodge a complaint with a supervisory authority if needed

8. Confidentiality & Professional Standards

I adhere to the ethical guidelines of the Dutch Institute of Psychologists (NIP) and am a member of the Association for Contextual Behavioral Science (ACBS).

Your data will never be shared without your explicit written consent unless legally required to do so. In rare cases of legal obligation, you will be informed whenever possible.

9. Data Retention and Deletion

  • If you decide not to proceed with services after the intake, your data will be deleted within a reasonable timeframe.

  • If you begin support, only essential data will be retained as long as necessary for providing care.

  • All personal data is stored securely and only accessible to me as your psychologist.
